Convention Pre-Flight Checklist

In an effort to keep myself from getting to a con and realizing, "Holy crap, I didn't bring the ______!" I'm trying to put together a convention pre-flight checklist that I can just fill out and check off as I go. I'm posting it here for people to snag and use if they like, but also in case people can help me think of items that need to go on here that I've forgotten, or changes anybody might want to suggest. So, comments welcome!

GENERAL INFO

Register for table/convention

Register for hotel

Sales license or other required paperwork

Conbook art

Submit to conbook (if any)

Artshow art

New merchandise (if any)


INTERMEDIATE (7 - 2 months out)

Book flight/car/travel

Ship Tiffany standee (if needed)

Ship anything else (if needed)

Register for art show (if any)

Charity auction items


IMMEDIATELY PRE-CON (less than 2 months)

Shipping directly to hotel (if any)

Price list

Art supplies

Badge supplies

Cash box


AT CON

Paperwork/application for next year?

Tax info?


POST CON

Count/split money

Post mortem analysis (what worked, what needed improvement, ideas for next time)

Pay taxes

Make sure everything gets home okay!

As a suggestion, I tend to leave a bag pre-packed with the following items just in case of "Didn't have time to prep" for a show.

1) Change of Clothes/Essential Bathroom items
2) bout 100 bucks in small bills for change
3) A tie (you never know)
4) Small portfolio (mine's photos of my stuff, since I don't draw)
5) Entertainment (cards, books, etc)

It's the just in case bag, and it usually lives in my truck (minus the cash, which sits in a spot I pass every day)

It's just the emergency essentials in case you _do_ happen to forget something and can't go back.

You should see my pre-con checklist... always too big and detailed more than needed. lol

I would move the shipping into the "2 months until con" category and move the price list and supplies that are in the "2 months until con" category into the 7-2 months out category.

I currently have the price list as the last thing to do (short of packing clothes) because that allows the maximum flexibility to add or remove items before the con. Since it's just a quickie printout from a WordPerfect template, it'll probably stay where it is.

re: Shipping, I don't mean to the hotel, but back and forth between Kerry and myself. I will add a "ship any stuff to hotel" in the near term, tho, that's a good point.

I don't ship anything to a hotel more than 7 days in advance...usually hotels bury it if you do....

I also keep a bag packed with the essentials...speaking of which, I do need to make up the first go-around of the price list and have a bunch of other stuff on my too much to do list!
